Terms of Service

Last updated 5 October 2026

1. Agreement to these Terms

These Terms of Service ("Terms") form a binding agreement between you — and, if you are acting on behalf of a company or other organization, that organization ("you," "your") — and Crazinerd ("Crazinerd," "we," "us," "our"), governing your access to and use of Workpool, including our website, applications, APIs, and related services (collectively, the "Service"). By creating a workspace, signing in, accepting an invitation to join a workspace, or otherwise accessing or using the Service, you accept these Terms and our Privacy Policy, which is incorporated into these Terms by reference. If you are accepting these Terms on behalf of an organization, you represent that you have the authority to bind that organization, and "you" refers to that organization.

2. Definitions

  • "Workspace" means the isolated account and dataset created when you or your organization sign up, containing your members, projects, messages, and other content.
  • "Customer Data" means content you or your workspace submit to, upload to, or generate within the Service — including synced email, files, tasks, messages, contacts, and documents.
  • "Member" means an individual user added to a workspace, with a role of Owner, Admin, Manager, Member, Guest or Client as configured within the workspace. Guests and Clients are outside collaborators who see only the projects shared with them.
  • "Connected Service" means any third-party account or system you link to the Service, including a mailbox (IMAP/SMTP), an AI provider account, or a payment method.
  • "Order" means a subscription selection made in-app or a separately signed order form or enterprise agreement.

3. Eligibility and accounts

You must be at least 18 years old, or the age of legal majority in your jurisdiction, and capable of forming a binding contract to use the Service. You agree to provide accurate registration information, to keep it current, and to keep your credentials confidential. You are responsible for all activity that occurs under your account and for promptly notifying us at hello@crazinerd.com of any suspected unauthorized access. Within a workspace, Owners and Admins control membership and role assignment; you are responsible for the roles and access you grant to others.

4. The Service

Workpool provides a unified email client, project and task management (including Kanban boards), team chat and channels, a lightweight CRM, a calendar, file storage, documents, forms, automations, reporting, and AI-assisted features, together with the administrative and billing tools needed to operate a workspace. We may add, modify, deprecate, or remove features at our discretion as the Service evolves, including features currently marked as in development or preview. Preview or beta features are provided "as is" and may change or be discontinued at any time without the notice otherwise described in Section 20.

5. Free trial

New workspaces receive a free trial period (currently seven (7) days from workspace creation, and shown in your workspace's Settings) with no payment method required to begin. We do not automatically charge any payment method at the end of a trial; a trial that lapses without an active paid subscription does not authorize any charge, but continued access to paid functionality after the trial requires an active subscription as described below. We may change the length or availability of the free trial for future workspaces at any time.

6. Subscriptions, plans, and fees

Paid functionality requires an active subscription to one of the plans described in the Service at the time of purchase (currently Starter, Professional, Business, and Enterprise). Plan features, pricing, and any usage limits are as displayed in-app or in your Order at the time of purchase. Fees are quoted and billed in South African Rand (ZAR) unless your Order states otherwise; prices for purchases made in the iOS app are shown in the App Store in your local currency. Except where required by law or expressly stated in these Terms or your Order, fees are non-refundable, including for partial billing periods or unused capacity. Enterprise plans and any custom pricing are governed by the applicable Order, which takes precedence over these Terms to the extent of any conflict on commercial terms.

7. Billing and payment processing

Subscription payments made on the web or from the Android app (which opens the web app in your browser to pay) are processed by PayFast (Pty) Ltd, a third-party payment gateway. By subscribing, you authorize the applicable recurring or one-time charge and agree to PayFast's own terms and privacy policy governing that transaction. We do not receive, process, or store your full card or bank account details; PayFast handles collection and storage of that payment information directly. Subscriptions renew automatically for successive billing periods at the then-current rate unless cancelled before the renewal date through your workspace's Settings. You are responsible for keeping your payment method current; a failed renewal payment may result in suspension of paid functionality until resolved. All fees are exclusive of applicable taxes, which you are responsible for unless we are required by law to collect them.

Subscriptions and AI credit packs bought in the iOS app are instead sold and charged by Apple (App Store) to the payment method on your Apple Account, under Apple's own terms, and are managed on our behalf through RevenueCat, a subscription-management service. A subscription bought in the iOS app renews automatically at the end of each billing period at the then-current price unless you cancel it at least 24 hours before the end of the current period in your App Store subscription settings; deleting the app or your account does not cancel it. Apple handles billing, taxes, and payment collection for these purchases, and we do not receive your card or bank account details.

8. Cancellation and refunds

You may cancel your subscription at any time through your workspace's Settings; cancellation takes effect at the end of the current billing period, and you retain access to paid functionality until then. We do not provide prorated refunds for early cancellation except where required by applicable consumer protection law. We may issue a refund or credit at our sole discretion, including to resolve a billing error or a service failure attributable to us. A subscription bought in the iOS app is cancelled in your App Store subscription settings rather than in the Service, and refunds for App Store purchases are decided by Apple under its own refund policies; we cannot issue those refunds ourselves.

9. AI features and AI providers

AI-assisted features (email classification, drafting, summarization, task extraction, and related capabilities) can run on a "bring your own account" basis: your workspace connects its own account with a supported third-party AI provider (currently including Anthropic, OpenAI, and Google, via their respective coding-agent or API products), and AI requests are executed using that connection, isolated to your workspace. Your use of a connected AI provider is governed by that provider's own terms of service, acceptable-use policy, and privacy practices, which we do not control and are not a party to. You are solely responsible for ensuring your use of a connected AI provider through the Service complies with that provider's terms, including any restrictions on the type of content submitted to it.

Where an AI feature would otherwise need to fabricate an answer it cannot support from real data, the Service is designed to say so rather than invent one. Notwithstanding that design intent, AI-generated output (including classifications, drafts, summaries, and extracted tasks) may be inaccurate, incomplete, or unsuitable for your purpose, and you are solely responsible for reviewing and verifying any AI-generated output before relying on or acting upon it, including before sending any AI-drafted communication.

If your workspace has no working AI connection of its own, and for the in-app "Ask AI support" feature, AI requests are instead carried out by a platform AI provider that we configure and pay for directly (such as Anthropic, OpenAI, Google, or Xkiro), and that usage is counted against your workspace's AI credits. The content an AI feature processes is transmitted to the provider used to generate the result, as described in the Privacy Policy. The app asks for your consent before you use AI features, and you can withdraw it at any time in AI Assistant settings.

10. Connected mailboxes and other integrations

If you connect a mailbox using IMAP/SMTP credentials, you authorize the Service to access that mailbox on your behalf to synchronize, display, organize, and send email exactly as directed by your configuration and actions within the Service. You represent that you have the right to connect any mailbox you configure (including any mailbox belonging to your employer or organization) and that doing so does not violate that mailbox provider's terms or any policy applicable to you. Mailbox credentials are encrypted at rest, as described in the Privacy Policy. Any other third-party integration you enable — including payment processing, bot-verification services such as Google reCAPTCHA, or AI providers — is likewise governed by that third party's own terms, and your enabling it is your acceptance of those terms for your own use.

11. Acceptable use

You agree not to, and not to permit any Member or third party through your workspace to:

  • Send unsolicited bulk email (spam), phishing content, or malware, or use the Service as an open mail relay;
  • Violate any applicable law or regulation, or infringe the intellectual property, privacy, or other rights of any person;
  • Attempt to gain unauthorized access to another workspace's data, credentials, or the Service's infrastructure;
  • Probe, scan, penetration-test, or attempt to circumvent any security or rate-limiting mechanism of the Service without our prior written authorization;
  • Reverse-engineer, decompile, or attempt to extract the source code of the Service, except to the extent applicable law expressly permits despite this restriction;
  • Upload or transmit content that is unlawful, defamatory, obscene, harassing, or that infringes a third party's rights;
  • Interfere with, disrupt, or place an unreasonable load on the Service's infrastructure or another user's use of the Service;
  • Use the Service to develop, train, or benchmark a directly competing product without our prior written consent;
  • Resell, sublicense, or provide the Service to third parties as a hosted or managed service, except as expressly permitted by an Order;
  • Use the Service in violation of applicable export control or economic sanctions laws, or on behalf of a person or entity subject to such sanctions;
  • Remove, obscure, or alter any proprietary notice on the Service.

We may investigate suspected violations of this section and may suspend or restrict access to protect the Service, other users, or ourselves from harm, before or without prior notice where the risk is immediate. You can report a chat message that you believe breaks this section from within the app; reports go to your workspace's Admins and to Crazinerd staff for review.

12. Customer Data; ownership and license

As between you and Crazinerd, you and your workspace retain all right, title, and interest in and to Customer Data. You grant Crazinerd a worldwide, non-exclusive, royalty-free license to host, cache, copy, transmit, display, and process Customer Data solely as necessary to provide, maintain, secure, and support the Service for you, to comply with law, and to exercise our rights under these Terms. We do not use Customer Data to train any AI model, and we do not sell Customer Data. We may generate and use aggregated or de-identified data derived from use of the Service (for example, general usage statistics that cannot reasonably be used to identify you or your workspace) to operate, analyze, and improve the Service, without restriction.

13. Feedback

If you or your Members submit ideas, suggestions, or feedback about the Service, you grant us an unrestricted, perpetual, irrevocable, royalty-free license to use that feedback for any purpose, including to improve the Service, without any obligation to compensate or attribute you.

14. Our intellectual property

The Service — including its software, user interface, design, documentation, and the Crazinerd name and logo — is owned by Crazinerd or its licensors and is protected by copyright, trademark, and other intellectual property laws. Subject to your compliance with these Terms, we grant you a limited, non-exclusive, non-transferable, non-sublicensable right to access and use the Service for your internal business purposes during your subscription term. No other rights are granted, and all rights not expressly granted are reserved.

15. Superadmin access and support

A limited number of authorized Crazinerd platform administrators ("superadmins") may search for an account to provide support and, where genuinely necessary to diagnose or resolve an issue, sign in as a user ("impersonation"). Every impersonation action is permanently recorded in an audit log, and the affected account holder is notified that it occurred — neither the logging nor the notification can be disabled. Superadmin status is granted only through a deliberate administrative action outside the ordinary product and can never be self-granted through the Service's own interface.

16. Confidentiality

Each party may receive non-public information of the other in connection with the Service ("Confidential Information"). Each party agrees to use the other's Confidential Information only to exercise its rights and perform its obligations under these Terms, and to protect it using at least the same degree of care it uses to protect its own confidential information of similar importance, but no less than reasonable care. This section does not apply to information that is or becomes public through no fault of the receiving party, was already known to the receiving party without confidentiality obligation, or is independently developed without use of the disclosing party's Confidential Information.

17. Third-party services and links

The Service integrates with, or may display links to, third-party services (including AI providers, mail servers, PayFast, Apple, Google, RevenueCat, and reCAPTCHA). We do not control and are not responsible for the content, security, or practices of any third-party service, and your use of one is at your own risk and subject to that third party's own terms.

18. Disclaimers

THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE." TO THE MAXIMUM EXTENT PERMITTED BY LAW, CRAZINERD DISCLAIMS ALL WARRANTIES OF ANY KIND, WHETHER EXPRESS, IMPLIED, OR STATUTORY, INCLUDING THE IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, TITLE, AND NON-INFRINGEMENT. We do not warrant that the Service will be uninterrupted, timely, secure, or error-free; that defects will be corrected; that AI-generated output will be accurate, complete, or suitable for any purpose; or that any Connected Service (mail servers, AI providers, payment processing, or others) will be available or perform as expected at all times. No advice or information, whether oral or written, obtained from Crazinerd or through the Service creates any warranty not expressly stated in these Terms.

19. Limitation of liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW, IN NO EVENT WILL CRAZINERD, ITS OFFICERS, DIRECTORS, EMPLOYEES, OR AGENTS BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, EXEMPLARY, OR PUNITIVE DAMAGES, OR ANY LOSS OF PROFITS, REVENUE, DATA, GOODWILL, OR BUSINESS OPPORTUNITY, ARISING OUT OF OR RELATING TO YOUR USE OF OR INABILITY TO USE THE SERVICE, EVEN IF CRAZINERD HAS BEEN ADVISED OF THE POSSIBILITY OF SUCH DAMAGES AND EVEN IF A REMEDY SET FORTH HEREIN IS FOUND TO HAVE FAILED OF ITS ESSENTIAL PURPOSE. CRAZINERD'S AGGREGATE LIABILITY ARISING OUT OF OR RELATING TO THESE TERMS OR THE SERVICE WILL NOT EXCEED THE TOTAL FEES YOU PAID TO CRAZINERD FOR THE SERVICE IN THE TWELVE (12) MONTHS IMMEDIATELY PRECEDING THE EVENT GIVING RISE TO THE CLAIM. The limitations in this section apply regardless of the legal theory on which a claim is based, whether contract, tort (including negligence), strict liability, or otherwise, and even if a limited remedy fails of its essential purpose. Nothing in these Terms limits liability that cannot be limited under applicable law, including liability for gross negligence, willful misconduct, or fraud.

20. Indemnification

You agree to defend, indemnify, and hold harmless Crazinerd and its officers, directors, employees, and agents from and against any claim, liability, damage, loss, and expense (including reasonable legal fees) arising out of or in any way connected with: (a) your Customer Data; (b) your use of the Service in violation of these Terms or applicable law; (c) your violation of any third party's rights, including through a Connected Service you configure; or (d) any dispute between you and a Member of your workspace.

21. Term, suspension, and termination

These Terms remain in effect for as long as you maintain a workspace or otherwise use the Service. You may stop using the Service and delete your account at any time, in the mobile app (Settings > Delete account), on the web (in Settings), or by contacting us at hello@crazinerd.com; see workpool.crazinerd.com/delete-account. Deleting your account also deletes any workspace in which you are the only member. If you are the sole Owner of a workspace that has other members, you must transfer ownership to another member before you can delete your account. Deleting your account does not cancel a subscription bought through the App Store (see Section 7). We may suspend or restrict your access immediately, without liability, if you materially breach these Terms (including Section 11), if required to do so by law or a competent authority, if your account is significantly overdue on payment, or if continued operation of your workspace poses a security, legal, or reputational risk to the Service or other users. Where practicable, we will provide notice before suspension or termination for reasons other than an immediate risk. Provisions that by their nature should survive termination — including Sections 12 (ownership/license), 13 (feedback), 14 (intellectual property), 16 (confidentiality), 18–20 (disclaimers, limitation of liability, indemnification), and 24–26 (governing law, dispute resolution, miscellaneous) — survive termination of these Terms.

22. Data export and deletion on termination

Following termination or closure of your workspace, we will provide a reasonable window (currently thirty (30) days, unless a shorter period is required by law or necessitated by a security or legal issue) during which you may request an export of your Customer Data. After that window, Customer Data may be deleted from active systems and subsequently purged from backups in the ordinary course, in line with our backup retention schedule. If you delete your account yourself, any workspace deleted with it (see Section 21) is removed from active systems at that time rather than held for export, so request an export of any Customer Data you need before deleting your account.

23. Force majeure

Neither party will be liable for any delay or failure to perform an obligation under these Terms (other than a payment obligation) resulting from causes beyond that party's reasonable control, including acts of God, natural disaster, war, terrorism, riot, labor disputes, internet or telecommunications failures, or actions of a governmental authority or third-party service provider.

24. Changes to the Service or these Terms

We may add, change, deprecate, or remove features of the Service, and may update these Terms, at any time. We will make a reasonable effort to notify you of a material change to these Terms (for example, by email to your account address or an in-app notice) before it takes effect. Your continued use of the Service after a change to these Terms takes effect constitutes your acceptance of the updated Terms; if you do not agree to a material change, your remedy is to stop using the Service and delete your account before the change takes effect.

25. Governing law and dispute resolution

These Terms, and any dispute arising out of or relating to them or the Service, are governed by the laws of the Republic of South Africa, without regard to conflict-of-law principles. Before initiating formal legal proceedings, each party agrees to attempt in good faith to resolve any dispute informally by contacting the other (hello@crazinerd.com for Crazinerd) and allowing thirty (30) days for resolution. Subject to that informal-resolution step, the courts of the Republic of South Africa have exclusive jurisdiction over any dispute arising out of or relating to these Terms or the Service, and each party consents to the personal jurisdiction of those courts.

26. Miscellaneous

If any provision of these Terms is held unenforceable, that provision will be limited or eliminated to the minimum extent necessary, and the remaining provisions will remain in full effect. These Terms, together with the Privacy Policy and any applicable Order, constitute the entire agreement between you and Crazinerd regarding the Service and supersede any prior or contemporaneous agreements on the same subject, except that a separately signed Order or enterprise agreement governs to the extent of any conflict on commercial terms. You may not assign or transfer these Terms, by operation of law or otherwise, without our prior written consent; we may assign these Terms without restriction in connection with a merger, acquisition, reorganization, or sale of assets. No agency, partnership, joint venture, or employment relationship is created between you and Crazinerd by these Terms. Our failure to enforce a provision is not a waiver of our right to do so later. Any notice to Crazinerd under these Terms should be sent to hello@crazinerd.com; any notice to you may be sent to the email address associated with your account.

27. Contact

Questions about these Terms can be sent to hello@crazinerd.com.
